MR Digital Services ("we," "us," or "our") is committed to providing professional truck dispatch services that meet and exceed our clients' expectations. This Refund Policy outlines the terms and conditions regarding refunds for our dispatch services.

By using our services, you acknowledge that you have read, understood, and agree to be bound by this Refund Policy.

2. Service-Based Refund Policy

Our services are performance-based and tailored to each client's specific needs. Refunds are considered on a case-by-case basis under the following circumstances:

2.1 Monthly Service Fees

  • First 7 Days (Trial Period): New clients may request a full refund within the first 7 days of service if they are dissatisfied with our dispatch services, provided they have given us reasonable opportunity to address their concerns.
  • After Trial Period: Refunds are prorated based on services rendered. We calculate the refund by determining the percentage of service days remaining in the billing cycle after deducting the value of services already provided.
  • No Refund Conditions: No refunds will be issued after 30 days of service or if we have successfully dispatched loads for your truck(s) during the billing period.

2.2 Setup/Registration Fees

One-time setup or registration fees are non-refundable once we have begun the registration process with brokers or initiated service setup.

2.3 Load-Specific Services

  • No refunds for specific load dispatches once we have secured the load and you have accepted it.
  • If we fail to secure any loads for your truck(s) during a 14-day consecutive period (excluding weekends and holidays), you may request a prorated refund for that period.

3. Refund Eligibility Criteria

To be eligible for a refund consideration, the following conditions must be met:

  • Written refund request submitted via email to refunds@mrdserv.com
  • Request made within the applicable timeframe specified in Section 2
  • Client has provided accurate and complete information necessary for service delivery
  • Client has maintained communication with our dispatch team
  • Client's truck(s) were available and operational during the service period
  • Client has valid operating authority, insurance, and was DOT-compliant

4. Non-Refundable Situations

Refunds will NOT be issued in the following circumstances:

  • Services already rendered and loads successfully dispatched
  • Client failure to provide necessary documentation or information
  • Client's truck mechanical failures or downtime
  • Market conditions affecting load availability or rates
  • Client violation of service agreement terms
  • Broker or shipper cancellations beyond our control
  • Force majeure events (weather, strikes, natural disasters, etc.)
  • Client-initiated service suspension or cancellation

5. Refund Process

5.1 Request Submission

To request a refund, email refunds@mrdserv.com with:

  • Subject line: "Refund Request - [Your Company Name]"
  • Your full name and contact information
  • Service dates in question
  • Detailed reason for refund request
  • Any supporting documentation

5.2 Review Period

  • We will acknowledge your request within 2 business days
  • Complete review within 7-10 business days
  • We may request additional information during the review
  • Decision will be communicated via email

5.3 Refund Method & Timing

  • Approved refunds are issued to the original payment method
  • Credit card refunds: 5-10 business days to appear on your statement
  • Bank transfer refunds: 7-14 business days
  • ZionPe refunds: 3-7 business days

6. Service Cancellation

Cancellation of services does not automatically entitle you to a refund. Please refer to Section 2 for refund eligibility.

6.1 How to Cancel

  • Email cancellation request to cancellations@mrdserv.com
  • Provide 30 days written notice for monthly services
  • Include your company name and service details

6.2 Cancellation Effects

  • Services continue until the end of the current billing cycle
  • You remain responsible for all charges until cancellation date
  • Access to dispatch services ends on the cancellation date
  • We will assist with transition for 14 days after cancellation

7. Dispute Resolution

If you disagree with our refund decision:

  • Submit a written appeal within 10 business days of our decision
  • Appeals are reviewed by management within 14 business days
  • We may offer service credits or other solutions as alternatives
  • If unresolved, disputes may be subject to mediation per our Terms of Service

8. Service Credits

Instead of refunds, we may offer service credits in certain situations:

  • Credits are applied to future service fees
  • Credits expire 6 months from issue date
  • Credits are non-transferable and non-refundable
  • Credits cannot be combined with other offers

9. Policy Updates

We reserve the right to modify this Refund Policy at any time. Changes will be:

  • Posted on this page with updated "Last Updated" date
  • Effective immediately upon posting for new clients
  • Effective 30 days after posting for existing clients
